Most people underestimate what they spend by a wide margin, not because they are careless but because small purchases are invisible once the card is tapped. An expense tracker fixes that by forcing each transaction through a moment of attention: the date, what it was, which category it belongs to and how much it cost. Over a week those lines add up to a picture that a bank statement never gives you, because you wrote it yourself and you remember each item.
The six templates here cover the most common ways to do that. The Expense Tracker is a plain daily log with twenty-two numbered rows, columns for date, description, category, payment method and amount, and three boxes at the bottom for budget, total spent and remaining. The Monthly Expense Sheet is the review tool: six sections — Housing, Transport, Food, Utilities, Personal and Savings — each with budgeted, actual and difference columns and a subtotal, and a summary bar for the month. The Income & Expense tracker puts income sources above the expense list and ends with a Total income minus Total expenses equals Balance strip, which is the quickest way to see whether a month was positive or negative.
Choosing categories that work
Keep categories few and broad. Eight to twelve is enough for a household; more than that and you will spend your time deciding where a purchase goes instead of writing it down. Start with the defaults printed on each template — Groceries, Dining, Transport, Shopping, Bills, Health, Fun and Other — and only split a category when it is consistently the one that goes over. In the maker you can type your own list one per line, and it prints as a row of category chips or as the first column of the table, depending on the layout.
A useful rule of thumb when you set targets is the 50/30/20 split: around half of take-home pay for needs such as housing, utilities, groceries and transport, about thirty percent for wants, and twenty percent for savings and paying down debt. You do not need to hit those numbers exactly, but writing them into the Budgeted column of the Monthly Expense Sheet gives every category a line to measure against. The free Budget Calculator does the arithmetic for you, and the budget templates carry the same categories into Excel and Google Sheets if you want a digital copy as well.
Expense reports for work reimbursement
The Expense Report template is the one layout built for an employer rather than a household. It opens with a header block for employee name, department, reporting period and purpose, then a table with a receipt checkbox on every line so you can confirm each cost is documented before you submit. Subtotal, less-cash-advance and total-due boxes sit at the bottom right, and three signature lines — Submitted by, Approved by and Date — give the finance team the sign-off they need. Print it before a trip, fill it in as you go, staple the receipts behind it and it is ready to hand in the day you get back.
Printing tips
Every template is sized for US letter paper and fills the page in both portrait and landscape, so the rows stretch to give you comfortable handwriting space. Use landscape for the 12-month Bill Payment Checklist and for any sheet you want wider description columns on. In the print dialog choose “Save as PDF” to keep a reusable file, then print a fresh copy each month. If you track bills rather than general spending, the dedicated bill tracker templates put the due-date and paid-checkbox layouts first.

Frequently Asked Questions
Why use a printable expense tracker instead of a spreadsheet or app?
Paper makes every purchase visible. Writing an amount by hand takes a few seconds of attention that an automatic bank feed never asks for, which is why people who log spending on paper tend to cut impulse purchases quickly. A printed sheet also works without a phone, a login or a battery, and it is easy to share with a partner on the fridge or a notice board.
How do I use the expense report template for work reimbursements?
Open the Expense Report style in the maker, type your name into the Name field and the claim period into Period, and put the trip or project in the Notes field so it prints as the Purpose line. Print it, list each cost with its date, category and amount, tick the Receipt box for every line you have a receipt for, total the Amount column into Subtotal and Total due, sign the Submitted by line and hand it to your manager for the Approved by signature.
Can I edit these expense trackers in Excel or Google Sheets?
These templates are designed to be printed and filled in by hand, or saved as a PDF. If you want a spreadsheet version with formulas that total your spending automatically, use the free Excel and Google Sheets budget templates at /budget — they cover the same categories and pair well with a printed tracker.
Which expense tracker template should I choose?
Use Expense Tracker for a daily or weekly spending log, Monthly Expense Sheet to compare budgeted and actual amounts by category, Income & Expense for a simple cash-flow check, Monthly Bill Tracker or Bill Payment Checklist to keep on top of due dates, and Expense Report for work claims.
Can I pre-fill my own categories or bills?
Yes. In the maker, type your bills or categories one per line into the Rows / categories box and they print in the first column. Leave the box empty for blank rows. On the Monthly Expense Sheet, prefix each line with the section name (for example “Food: Groceries”) to place it in the right section.
Are the expense tracker templates free?
Yes. Every tracker is 100% free for personal and business use with no signup, watermark or attribution. Print as many copies as you need, in portrait or landscape, or save them as PDFs.
