Free online quote generator

A quote is a promise: this scope, for this price, until this date. Customers like quotes because the number will not move, and businesses like them because a clearly worded quote stops scope creep before it starts. This quote generator builds the document for you. Enter the customer, write a one-line scope of work, list what is included with quantities and prices, and download a professional PDF headed "QUOTE" with fixed-price terms and acceptance lines. It is free, needs no account, and runs entirely in your browser.

It shares an engine with our invoice generator and estimate generator, so the quote you send today, the invoice you send when the work is done, and the receipt you issue when it is paid all look like they came from the same business.

Quote vs estimate: which one should you send?

Send a quote when you can see the whole job: a known product list, a defined service, a site you have inspected. The price is fixed, and the customer can accept it knowing exactly what they will pay. Send an estimate when there are unknowns, such as what is behind a wall, how many hours a repair will take, or how a client's requirements might evolve. An estimate tells the customer what to expect; a quote tells them what they will pay.

Because a quote is binding once accepted, the scope line is the most important field on the page. "Supply and fit 12 interior doors, including hardware, excluding painting" is a scope. "Door work" is an argument waiting to happen.

What a good quote includes

  • A unique number so acceptance, the invoice and any later changes can all refer to it.
  • A valid-until date that protects you from being held to an old price when materials or labour costs have moved.
  • A precise scope of work, with exclusions stated in the notes or terms.
  • Itemized lines for products, services and labour, so the customer can see what the total is made of.
  • Tax shown separately, so there is no confusion about whether the price is inclusive.
  • Payment terms: deposit, stage payments and when the balance is due.
  • Acceptance lines for both parties, which turns the quote into a simple written agreement.

Who uses this quote generator

Trades and contractors quoting fixed-price installs. Freelancers and agencies quoting a website, a logo or a day rate for a defined deliverable. Cleaners, landscapers, photographers, event suppliers and caterers quoting a package. Suppliers sending a sales quotation for a list of products. If your customer asks "how much will it be?", and you can answer with one number, this is the document to send.

After the quote is accepted

Keep the signed PDF or the customer's written acceptance with the job file. When the work is done, open the invoice generator, enter the same lines and reference the quote number in the notes ("As per quote Q-014"). If the customer asked for extra work along the way, quote that separately and invoice it as its own line so the original fixed price stays intact. Once paid, issue a receipt with the receipt maker.

Frequently asked questions

What is the difference between a quote and an estimate?

A quote is a fixed-price offer: once the customer accepts it, you are expected to deliver the described scope for that price. An estimate is an approximation that can move if the job turns out to be bigger than expected. Use this quote generator when the scope is well defined; use our estimate generator when there are unknowns.

Is a quote legally binding?

In most places a written quote that the customer accepts forms a contract for the scope and price stated, which is why the scope-of-work field and the exclusions in your terms matter so much. Be precise about what is included, and state that anything outside the scope will be quoted separately. This is general information, not legal advice.

How long should a quote be valid?

The generator defaults to 30 days. Shorten the validity to 7 to 14 days when material or supplier prices change often, and lengthen it for corporate customers who need internal sign-off. Once the valid-until date passes, issue a fresh quote with a new number rather than honouring the old price informally.

Should I ask for a deposit on a quote?

For jobs that involve ordering materials or blocking out several days of work, yes. The default terms ask for a 50% deposit on acceptance and the balance on completion. Edit the terms to match your own policy, for example 30% deposit, or staged payments for longer projects.

Can the customer accept the quote by signing it?

Every quote carries "Prepared by" and "Accepted by (customer)" signature lines. The customer can sign the PDF electronically, print and sign it, or reply to your email confirming acceptance of the quote number. Any of those is written acceptance.

Is the quote generator free?

Yes. There is no account, no watermark and no limit on the number of quotes. Everything is built and exported in your browser, so the customer details and prices you enter never leave your device.
