A work order is the piece of paper (or PDF) that tells a technician what to do, where to do it and when, and that tells the customer what they agreed to have done. It sits between the first phone call and the final invoice, and it is the document most likely to be waved around if there is a disagreement about what was fixed. This work order generator produces a clear, numbered work order with a details panel, itemized parts and labour, and sign-off lines for both the technician and the customer. It is free, needs no account, and runs entirely in your browser.

The layout matches our invoice generator, so the work order your technician carries on site and the invoice you send afterwards look like a set.

Who uses work orders

Field service. HVAC, plumbing, electrical, appliance repair, pest control and alarm companies dispatch technicians to customer sites all day. The work order is the job ticket: it carries the address, the contact, the reported fault and the parts to bring.

Maintenance and facilities. Property managers, building superintendents and plant maintenance teams raise a work order for every leaking tap, failed light and scheduled filter change. Numbered work orders build a maintenance history for each asset or unit that is invaluable when something fails again.

Auto repair. A repair order lists the vehicle, the customer's complaint, the diagnosis, and the parts and labour authorized. Put the make, model and plate or VIN in the job location field and the complaint in the description.

IT, landscaping, cleaning and more. Any business that sends a person to perform a defined task at a location benefits from writing that task down before starting.

Scheduling and priority

Two dates appear at the top of the document: the date the work order was issued and the scheduled date for the job. The scheduled date is what the customer looks for first, so confirm it with them before sending. The priority field (low, normal, high, emergency) helps whoever is dispatching decide which work orders go out first when the day is overbooked, and tells the technician how much latitude they have to reschedule.

Assign the technician on the work order itself. When the customer knows the name of the person arriving and the technician knows the job is theirs, no-shows and double-bookings drop sharply.

Parts and labour

List labour and parts as separate lines. Labour is usually billed per hour or as a flat call-out fee plus hours; parts are billed per unit. Itemizing them makes the work order double as a parts pick list for the technician and makes the eventual invoice easy to justify. If you quote a diagnostic fee that is credited against the repair, say so in the notes.

For jobs where the full scope is unknown until the technician is on site, fill in what you know, leave the terms stating that additional work will be quoted before proceeding (the default terms say exactly this), and add lines on site before sign-off.

Sign-off and what comes next

The two signature lines at the bottom are the whole point of the document. When the job is done, the technician signs to confirm the work was performed as described and the customer signs to confirm they accept it. Keep the signed copy. If the customer later disputes the charge or says the work was never done, the signed work order settles it.

Once the work order is signed, bill it with the invoice generator, referencing the work order number in the invoice notes, and confirm payment with the receipt maker. If the customer wants a price before authorizing the job, send an estimate first. For ordering the parts you need from a supplier, use the purchase order generator.

Frequently asked questions

What is a work order?

A work order is an instruction to carry out a specific job: a repair, an installation, a maintenance visit or a service call. It records who requested the work, where it is, who is assigned to it, when it is scheduled, what parts and labour are involved, and it is signed off when the job is done.

Who uses work orders?

Field service businesses (HVAC, plumbing, electrical), property and facilities managers, auto repair shops, IT support teams, landscapers, cleaning companies and manufacturing maintenance departments all run on work orders. Anyone who dispatches someone to do a job at a location can use this template.

What is the difference between a work order and an invoice?

A work order describes and authorizes the job before and during the work. An invoice requests payment after the work. Many businesses issue a work order, have the customer sign it on completion, then produce an invoice that references the work order number.

Can I record the technician and priority?

Yes. The Details card has fields for job location, assigned technician, priority and a description of the work. Anything you fill in is printed in a details panel on the document; anything you leave blank is left off.

How do I get customer sign-off?

The bottom of every work order has two signature lines: one for the technician and one for the customer. Print the PDF and have both sign when the work is complete, or mark it up on a tablet. A signed work order is your evidence that the job was done and accepted.

Is the work order generator free?

Yes. It is free with no signup, no watermark and no limit on the number of work orders you create. The document is built and exported entirely in your browser.
