A good employee schedule answers three questions at a glance: who is working, when they start and finish, and how many hours each person has for the week. The Work Schedule template puts employees down the side, the seven days across the top and a weekly hours column on the right, so managers can spot under- and over-scheduling before the week begins.
Post the schedule in the same place every week — the break room, a shared drive, or a group chat as a PDF — and give at least a week of notice where you can. Many US states and cities now have predictive scheduling rules for retail and food service, so a dated, printed rota is also useful documentation.
Weekly schedule vs. shift rota
If every employee works roughly the same pattern, the one-week Work Schedule is enough. If your team rotates between morning, afternoon and night shifts, the two-week Shift Schedule is easier to balance: you can see that someone who closes on Saturday isn't opening on Sunday, and the week-one / week-two split lines up with a fortnightly pay period. Use the AM / PM / N / OFF codes in the legend so a cell holds one short code instead of a cramped time range.
Tips for filling in the template
- Write shifts as start–finish times (9:00–17:30) or use the shift codes — don't mix the two on one sheet.
- Total hours in the right-hand column as you go, and circle anyone approaching overtime.
- Print in landscape when you write times in every cell; portrait when you only need codes.
- Add the week-of date in the header line every time so old copies can't be mistaken for the current rota.
- Keep a signed or dated copy of each schedule for payroll queries.

Weekly employee schedule
List each team member down the side and fill in start and finish times for every day. The hours column keeps weekly totals honest for payroll and overtime.

What is a work schedule template?
A work schedule template is a printable grid that shows which employees are working on which days and at what times. Managers use it to plan coverage, control labour costs and give staff advance notice of their shifts. These templates print on standard letter paper and can be filled in by hand or saved as a PDF.
How do I make an employee work schedule?
Open the Work Schedule template in the Schedule Maker, set the title (for example “Front Desk — Week of Oct 27”) and orientation, keep the print-friendly black and grey or choose an accent colour, then print it. Write each employee's name in the left column and their shift times under each day. For rotating shifts, use the two-week Shift Schedule instead.
Is there a shift schedule template for rotating shifts?
Yes. The Shift Schedule template covers 14 days with a split between week one and week two, a weekly hours column and a legend for AM, PM, night and day-off codes. It works for retail, hospitality, healthcare and manufacturing rosters.
Can I edit the work schedule in Excel or Google Sheets?
The printable templates here are designed to be printed and filled in, or saved as a PDF. If you prefer a spreadsheet, the full schedule collection includes downloadable Excel and Google Sheets versions you can edit on your computer.
Should I print the work schedule in portrait or landscape?
Landscape gives each day a wider column, which is better when you write shift times (e.g. 9:00–17:30) in every cell. Portrait fits more employee rows. Both orientations are available with one click in the Schedule Maker.
Are the work schedule templates free?
Yes. Every work schedule template is 100% free for personal and business use, with no signup, registration or watermark.
